This Privacy Policy explains how Octavica ("we", "us") — operated by [LEGAL ENTITY] — handles personal data. Questions: support@octavica.com.

Two ways we handle data

• As a controller — for visitors of this website and people who contact us (e.g. to book a demo).
• As a processor — when we operate the voice agent for a business client, we process the personal data of callers (name, phone number, reason for calling) on behalf of and under the instructions of that client, who is the controller.

What we collect

• Website / contact: your email address and any information you include when you contact us.
• Voice agent (for clients): caller's phone number, name, stated reason/request, preferred time, and the call transcript. Call audio recordings are processed only where the client enables that option.

Why we use it

• To respond to enquiries and provide demos.
• To deliver the service: capture the caller's request and pass it to the business so they can call back.
• To operate, secure and improve the service.

Legal basis

We rely on your consent, the performance of a contract, and our legitimate interest in running the service, in line with the EU GDPR and applicable Serbian data protection law (Zakon o zaštiti podataka o ličnosti).

Sub-processors

We use trusted providers to run the service, including: Vapi (voice orchestration), Deepgram (speech-to-text), ElevenLabs (text-to-speech), OpenAI (language model), Google (spreadsheet delivery), Cloudflare and our server host. Each processes data only as needed to provide their function.

Retention

We keep request data for as long as needed to provide the service to the relevant business client, and delete or anonymise it on request or when no longer required.

Your rights

You may request access, correction, deletion, or restriction of your personal data, and object to processing. For data captured on behalf of a business (as a processor), we will direct your request to that business. Contact support@octavica.com.

Security

We use reasonable technical and organisational measures to protect personal data. No method of transmission or storage is 100% secure.

Changes

We may update this policy; the "last updated" date will change accordingly.
